Inca Trail 4 day Trek Group Booking Details 2012 (Mar-Dec)

        

IMPORTANT NOTE: We have received feedback from many clients saying that our confirmation emails are often directed to their spam folder rather than their inbox especially when emailing us from your work address. We suggest using a POP3 email account such as Gmail, Googlemail, Hotmail, Yahoo etc, to avoid possible spam blocking with work email addresses / servers, and to be able to contact you if you are travelling.

Step 1: Ensure that you are making the reservation plenty of time in advance. Check that there are still spaces available in our group (see previous page for list of available dates - this information is updated several times a week) and book as far ahead as possible since our trek departures dates are offered on a first-come-first-served basis. Check that your passport is valid for at least 6 months after the date that you enter Peru. If you do not have a valid passport or plan to renew your passport before coming to Peru please see our Frequently Asked Questions page for more details.
      
   
Step 2: Fill in the Inca Trail reservation form below and email it to us (cut out the following information, paste it into your email to us and fill in the missing details). Details should be filled in for each group member.
Please do not make a reservation until you have all the details below. We cannot accept a booking without all the names, nationalities, passport numbers and ages.

 

When filling in the form below please do not capitalize all letters, do not use bold print or strike through your chosen option or highlight your answer in a different colour. e.g. write your name simply as John Smith. When given an option such as Male or Female or Yes or No please delete as applicable just leaving your chosen option. This is because your information is converted into simple text format and some information may get lost if you send it to us in other formats. This helps us a lot when transferring your details directly to our reservations database. We appreciate your help in this matter. Thanks.

Step 3: We will send you confirmation of trek availability and deposit details: We will send you an email confirming trek availability and confirm the total price of the trek and any additional services that you may have requested. We will also include details of how to pay the deposit (US$225 per person) and the date by which you must send it. We will usually ask you to pay the trek deposit within 3 days of us accepting your trek booking. Do not send any money until we have confirmed your trek dates by email !
    
Step 4: Payment of the trek deposit: Having checked that the details
in our trek confirmation email we send you are correct, you are ready to make the deposit.
 
Methods of paying the trek deposit
are as follows. We will send you more detailed information about how to pay your trek deposit with our trek confirmation email.

 

(1) Payment by Pay Pal - No fees (preferred method of payment). Many people will already be familiar with using this system and have Pay Pal accounts which is the primary method for purchases and sales on E-bay. However an account is not necessary and clients can pay with Pay Pal by just using their credit cards. You will not be asked to pay any additional Pay Pal fees since these fees are included in the price of the trek. We will send you further details with our trek confirmation email.

 

(2) British clients can also pay their deposits into our Lloyds TSB account in the UK (no fees associated with this method of payment).

        

(3) Payment by International bank transfer - There are additional fees associated with this method of payment.

We can only accept payments by bank transfer to our Peru bank account for amounts greater than US$1000.

   

Unfortunately we do not accept credit cards directly.

Please note that we will only send you detailed information on how to make the deposit payment once we have confirmed your trek booking.

DO NOT SEND ANY PAYMENT UNTIL WE HAVE CONFIRMED YOUR RESERVATION FIRST.

        
Step 5: Confirmation of trek deposit receipt: We will send you an email confirming that we have received your trek deposit.
 
 
Step 6: Come to Cusco and pay the remaining trek balance. You can pay the balance of the trek at our offices in Cusco (minimum of 2 days before trek departure
, before 7pm). Payment can be made in cash US$, local currency (Peruvian Nuevo Soles). You can withdraw cash in either US$ or Peruvian Sole from one of the many ATM machines in Cusco (Visa, MasterCard, etc). Prior to departing for Peru it is advisable to inform your bank that you are coming to Peru, so that you do not experience any problems with your credit/bank cards whilst abroad. Remember that the limit that you can withdraw each day in Peru may be less than your normal limit at home.

  

In the Event of Trek Cancellation by the Client
Please note that the trek deposit of US$225 per person is non-refundable. The deposit is used to reserve space within the group. Once we have made a trek reservation with the government authorities we cannot then change any details of the reservation (your name, passport number or departure date). If you have to cancel your trek booking government authorities will not let us fill your cancelled spaces with other clients, we just have to depart with a smaller less-economic group. Once purchased the trek permits are non-refundable and non-transferable.
(i) Trek cancellation prior to 7pm two days prior to trek departure (after having paid the trek deposit): Loss of trek deposit. All other payments will be refunded in full. Note that if the trek balance is not received prior to 7pm two days before trek departure then the trek will be deemed to have been cancelled and the deposit cannot be returned. Once we have bought the trek permits it should be noted that we cannot then substitute other trekkers in your place if you have to cancel. The Inca Trail trek permit, bus ticket and train ticket will not be returned.
(ii) Trek cancellation between 7pm two days before trek departure and prior to actual trek departure (i.e. once you have paid for the trek in full): The unused Inca Trail trek permit will be returned as well as the  train ticket for Aguas Calientes to Ollantaytambo and the bus ticket from Machu Picchu down to Aguas Calientes. If you have hired the services of third of a porter we cannot refund your payment and the porter will continue on the Inca Trail as originally contracted to do so. If you have hired a sleeping bag we will refund this amount in full.
iii) Once you have started the Inca Trail (i.e. once you board the bus in the morning) we can only return your train ticket from Aguas Calientes to Ollantaytambo and your bus ticket from Machu Picchu down to Aguas Calientes. We cannot make any cash refunds. Failure to be able to continue with the trek will be treated as a cancellation. Any costs associated with returning to Cusco or returning to Ollantaytambo and then continuing to Aguas Calientes and then onto Machu Picchu must be met by yourselves. These costs include all transport costs (you, the guide and any friends accompanying you), hotel accommodation and any medical expenses (thankfully this is a very rare event).
In the event of any trek cancellation, Peru Treks will be happy to cooperate in providing any necessary documentation to enable a legitimate insurance claim.

 

IMPORTANT: Possible changes to Inca Trail trek price 2012: (information updated on the 10 January 2012)

The above Inca Trail prices are based on the following third party costs which are outside of our control:

1: Inca Trail entrance fee is 300 Peruvian Soles (S/.254 + S/.46 sales tax) which is about US$112 (US$35 discount for students with ISIC cards and children <16yrs) and 43 Soles, about US$16 for all of our porters. The price paid for the entrance fee is clearly marked on the trek permit. This price includes entrance to Machu Picchu. The government reserves the right to increase the entrance fee at any time and may only give us one or two weeks notice.

2: Included in the price of the trek is the one-way journey on the train from Aguas Calientes to Ollantaytambo on the Peru Rail Expedition service 84 which currently costs US$37 per person Mar-Apr & US$50 (May-Dec). (details of service and price can be checked on the Peru Rail website www.perurail.com).The Peru Rail website states that they reserve the right to change the price at anytime. There is also the possibility that Peru Rail will no longer sell a one-way ticket and will only sell return tickets i.e. Ollantaytambo - Aguas Calientes - Ollantaytambo. If this is the case it is possible that the price of the ticket could double!! However this is unlikely. We will try to do everything in our control to keep the price of the ticket to as low as possible but clients must be prepared for such increases in the price of the train ticket. Peru Rail currently runs a monopoly service so we don't have an alternative (Peru Rail is 50% owned by Orient Express, a British company which is registered in Bermuda and listed in the NY stock exchange). The price paid for the train ticket is clearly marked on the ticket.

3. Included in the price of the trek is the bus ticket from Machu Picchu to Aguas Calientes which currently costs US$9 per person. It is not anticipated that these costs will increase during 2012, and if they do they are unlikely to increase by more than US$2 per person. The price paid for the bus ticket is clearly marked on the ticket.

4. Local sales taxes known as IGV are included in the price of the Inca Trail trek. The currently rate of IGV is 18%. It is not anticipated that this rate will increase during 2012.

5. Exchange Rate. The Inca Trail trek price for 2012 is based on an exchange rate of 1 USD = 2.75 Peruvian Soles. Although we accept payment for the trek in US dollars the majority of our expenses are in Peruvian Soles (trek permits, office & porter wages, food, taxes). Peru Treks will absorb any change in costs up to 15 points difference from 2.75. i.e. if the exchange rate falls to 2.60 we will not ask you to pay any additional surcharge. If however the value of the US dollar falls below 2.60 we will ask you to pay a US$15 surcharge, if the value falls below 2.55 we will ask you to pay a US$20 surcharge, below 2.50 we will ask you to pay a US$25 surcharge etc etc. Peru Treks will have to show any calculations to clearly justify such surcharges.

      

If any of the third party costs listed above change to increase the cost of the trek we will immediately update the trek price listed on our website (apart from the exchange rate which can continue to go up and down throughout the year so the website will not be updated to reflect these cost changes - see Trek Terms & Conditions 2012 for more details about change in exchange rate). Clients will be liable for paying any increased cost of the Inca Trail trek upon arrival in Cusco.

  

Due to the new Inca Trail regulations that limit the number of trekkers on the Inca Trail it should be noted demand for spaces on the trek far outweigh the number of available trek permits. Unlike many trekking companies Peru Treks and Adventure have not taken advantage of this situation and in real terms we have not increased the price of our treks during the last 2 years. We feel that the service provided by Peru Treks and Adventure is second to none, and the price that we offer is very competitive and offers great value for money.
